Position Summary
We are seeking a dependable and organized Office Administrator to support the day-to-day operations of our office. This position will be responsible for maintaining accurate records, assisting staff and customers, coordinating administrative tasks, and helping ensure the office runs efficiently.
The ideal candidate is detail-oriented, professional, comfortable working independently, and able to manage multiple priorities in a fast-paced environment.
Key Responsibilities
- Manage daily office operations and administrative activities
- Answer phones, respond to emails, and direct inquiries appropriately
- Greet and assist visitors, customers, and staff
- Maintain electronic and paper files, records, and documentation
- Enter, update, and maintain information in databases and office systems
- Prepare correspondence, reports, forms, spreadsheets, and other documents
- Schedule meetings, appointments, and other office activities
- Process invoices, purchase orders, expense reports, or other administrative paperwork
- Order and maintain office supplies and equipment
- Assist with data entry and basic reporting
- Coordinate communication between departments, customers, vendors, and other contacts
- Help ensure records and administrative procedures are accurate and up to date
- Provide general administrative support to management and staff
- Perform other duties as assigned
Qualifications
- High school diploma or equivalent required; additional education or training is a plus
- Previous office or administrative experience preferred
- Strong organizational and time-management skills
- Excellent written and verbal communication skills
- Strong attention to detail and accuracy
- Ability to prioritize tasks and meet deadlines
- Comfortable working with computers and common office software
- Ability to handle confidential information professionally
- Ability to work independently as well as part of a team
- Professional and friendly demeanor
Preferred Skills
- Microsoft Office or Microsoft 365 experience
- Experience with spreadsheets and databases
- Experience with scheduling and recordkeeping
- Basic bookkeeping or invoicing experience

- Ability to learn new software and office systems quickly
